Front Office Manager (Parsippany, NJ)

Position Title:  Front Office Manager (35 hrs/week)

Responsible To:  Supervising Clinician

Qualifications:    Associates Degree and/or minimum of three to four years’ experience in a fast paced medical office environment.  Solid computer literacy and experience with Microsoft especially Word and Excel.  Able to organize own work and time well.  Must have excellent communication skills (written and verbal), customer service, interpersonal and organizational skills.  Flexibility, provide coverage as necessary due to vacation and unplanned absences.

Responsibilities:

  1. Greet clients and visitors at window utilizing exceptional customer service.
  2. Greet and assist telephone caller utilizing exceptional customer service.
  3. Process answering service calls and direct them to appropriate area.
  4. Collect and scan patient ID and insurance information.
  5. Distribute forms to clients (in-person, electronically, and via kiosk) and verify that all forms have been completed and signed by client.
  6. Collect income information annually.
  7. Verify insurance information.
  8. Enroll all eligible clients in to NJMHAPPs and monitor regularly.
  9. Generate clients invoices and statements,
  10. Request and collect copays, deposits, and other balances owed by client and enter into EHR.
  11. Enter client information into EHR quickly and accurately.
  12. Schedule appointments and enter into computer system.
  13. Reconcile cash and charts with appointment information.
  14. Print, distribute, and collect daily charge slips.
  15. Prepare letters, forms and reports using proper style and punctuation.
  16. Organize/distribute outgoing and incoming mail and courier deliveries.
  17. Operate office equipment to include: copiers, computers, fax machine, and printers.
  18. Work schedule to include at least two evenings a week.
  19. Schedule staff to ensure proper-levels of coverage during program hours.
  20. Coordinate communications and procedures between front office and clinical staff.
  21. Ensure compliance with NewBridge policies and procedures and regulatory agencies (HIPAA, DAS, DMHAS).
  22. Order office supplies as needed.
  23. Attend meetings as requested by management.
  24. Help identify efficiencies, cost savings, and improvements to billing process.
  25. Maintain all pertinent facility logs as assigned (Key log, facility log).
  26. Other duties as assigned.
