Front Office Support Staff (Parsippany, NJ)

Position Title:   Front Office Support Staff (full time)

Responsible To:    Clinical Case Manager

Qualifications:   High School Diploma and/or a minimum of three years’ experience in a fast-paced counseling office environment. Experience with electronic health records a plus. Solid computer literacy and experience with Microsoft Office Suite, especially Word and Excel. Able to organize own work and time well. Must have excellent communication, customer service, interpersonal and organizational skills, and be a team player. Flexibility required to provide coverage as necessary due to vacation and unplanned absences.

Responsibilities:

  1. Greet and assist telephone callers, clients, and visitors utilizing exceptional customer service.
  2. Manage relevant communications in client portal through electronic health record.
  3. Process office voicemail, directing all calls to appropriate office and/or agency staff.  
  4. Assist prescribers and clients with set up of Telehealth appointments in the absence of the Clinical Case Manager.
  5. Maintain all appointments and ensure they are updated in a timely fashion.
  6. Call clients for medical staff appointment reminders while managing electronic confirmation and cancellations.
  7. Knowledge, efficiency and proficiency in electronic health records as determined by the Clinical Case Manager, Assistant Director, and Director.
  8. Review client demographic and entitlement information and update electronic health records as required.  
  9. Scan all pertinent information into electronic health records filing cabinet with accuracy.  
  10. Prepare letters, forms, and reports using proper style and punctuation.
  11. Prepare monthly statistical reports when requested, using Excel, which will be reviewed by the Office Manager and Quality Assurance Coordinator.
  12. Organize/distribute outgoing and incoming mail through courier.  
  13. Other duties as assigned.
