Front Office Support Staff (Pompton Plains, NJ)

Position Title:   Front Office Support Staff

Responsible To:  Front Office Manager

Qualifications: High School Diploma and/or minimum of three to four years’ experience in a fast-paced counseling office environment. Experience with electronic health records a plus. Solid computer literacy and experience with Microsoft especially Word and Excel. Able to organize own work and time well.  Must have excellent communication skills (written and verbal), customer service, interpersonal and organizational skills and be a team player. Flexibility, provide coverage as necessary due to vacation and unplanned absences.

Responsibilities:

  1. Greet and assist telephone callers, clients, and visitors utilizing exceptional customer service.
  2. Manage relevant communications in client portal through electronic health record (EHR).
  3. Process office voicemail with directing all calls to appropriate office and/or agency staff.
  4. Schedule all medical staff appointments and enter into EHR scheduler/calendar.  Make updates and changes as needed.
  5. Assist prescribers with set-up of telehealth appointments as needed.
  6. Maintain monthly and 6-month update appointments for prescribers and ensure that appointments are updated in a timely fashion.
  7. Call clients for medical staff appointment reminders while managing electronic confirmations and cancellations.
  8. Achieve and maintain knowledge, proficiency, and efficiency (speed) in EHR as determined by Office Manager, Clinical Supervisor(s), and Director of Partial Care.
  9. Review client demographic and entitlement information and update EHR records as required.
  10. Scan all pertinent information into EHR with accuracy.
  11. Collect fees from clients.
  12. Prepare letters, forms, and reports using proper style and punctuation.
  13. Prepare monthly and quarterly statistical reports using Excel for review by Office Manager/Clinical Supervisor(s)/PC Director.
  14. Organize and distribute incoming and outgoing mail through the courier.
  15. Enter all billing data for NJMHAPPS and check Medicaid status monthly, following current policies and procedures.
  16. Other duties as assigned.
